How NDIS Providers Should Verify Support-Worker Timesheets

A timesheet can look perfectly reasonable while missing details that affect payroll, invoicing and the accuracy of the support record.

Why Timesheet Verification Matters

A support-worker timesheet is more than a payroll document.

It can form part of the records supporting the services a provider says it delivered.

The NDIS requires providers to keep complete and accurate records of supports delivered. These records can include invoices, support logs, rosters, case notes and service agreements. Providers are also responsible for making sure payment claims are complete, truthful and accurate.

That makes timesheet verification an important administrative control.

The goal is simple:

Make sure the hours recorded match the support actually delivered.

What Should You Check on a Support-Worker Timesheet?

Before approving a timesheet, check the basic details first:

Participant name
Support worker name
Date of service
Start time
Finish time
Breaks, where applicable
Total hours
Support type
Location, where relevant
Notes or supporting records
Rostered hours

The NDIS identifies the participant, date of support, quantity or hours delivered and support type as minimum identifying information for provider records.

Compare the Timesheet With the Roster

Don’t approve a timesheet simply because the hours look reasonable.

Compare it with the roster.

For example:

Roster:
9:00 AM–1:00 PM

Timesheet:
9:00 AM–2:00 PM

That extra hour needs to be explained before payroll or invoicing is finalised.

Possible reasons could include:

The support ran longer
The roster changed
The worker forgot to update the roster
The participant required additional support
The timesheet contains an error

The important thing is not to assume which explanation is correct.

Verify it.

Check What Support Was Actually Delivered

The recorded hours should make sense alongside the supporting documentation.

Depending on the service, this could include:

Shift notes
Support logs
Case notes
Roster information
Participant attendance records
Other relevant service documentation

The NDIS says support logs track individual supports delivered and that case notes can describe activities and how they relate to the specific support item and participant goals.

Example

A timesheet records:

10:00 AM–2:00 PM — 4 hours

But the supporting notes indicate the worker left at 1:00 PM.

That discrepancy should be investigated before the hours are approved.

Check for Duplicate or Overlapping Hours

This is an easy error to miss when reviewing timesheets manually.

Look for:

Worker A: 9:00 AM–1:00 PM
Worker A: 12:00 PM–2:00 PM

There are two hours of overlap.

That doesn’t automatically mean the timesheet is wrong. There may be a legitimate reason.

But the administrator should confirm why the overlap occurred before approving it.

Also check for:

Duplicate entries
Two workers recorded against the same participant unexpectedly
Overlapping shifts
Repeated dates
Unusual hours
Missing entries

Check Timesheets Against Invoices

The verification process shouldn’t stop at payroll.

If the provider is invoicing for the support, compare the approved timesheet with the invoice.

Check:

Approved rate	Invoice rate
Total	Invoice total

The NDIS states that invoices must include information such as the participant, support item number, claim type and total invoice amount.

A mismatch between the timesheet and invoice should be investigated before submission.

Check the NDIS Support Item

The number of hours alone isn’t enough.

The administrator should also check whether the support type and applicable support item match the service delivered.

The NDIS Pricing Schedule includes the support item number, support item name and unit for NDIS supports. The current pricing schedule applies from 1 July 2026.

For example, don’t assume:

4 hours recorded = any 4-hour NDIS claim

The support delivered still needs to correspond with the support being claimed.

Look for Unusual Timesheet Patterns

A good verification process doesn’t only identify obvious mistakes.

It also helps identify patterns worth checking.

Watch for:

Repeatedly identical hours every day
Frequent manual adjustments
Regular overtime
Unusually long shifts
Frequent overlapping shifts
Missing notes
Timesheets submitted significantly late
Large differences between rostered and actual hours

One unusual entry doesn’t necessarily mean something is wrong.

But repeated anomalies deserve closer attention.

What If the Timesheet Is Wrong?

Don’t simply edit it silently.

If a timesheet contains an error:

Identify the discrepancy.
Confirm what actually happened.
Ask the appropriate worker or manager for clarification.
Correct the record according to your internal process.
Keep an appropriate record of the correction.
Recheck payroll or invoicing if the error affects either.

This creates an audit trail and reduces the risk of someone later wondering why the recorded hours changed.
