Having worked with NDIS providers across Australia, I’ve seen that most payment delays aren’t caused by the NDIA.

They’re usually the result of small administrative mistakes made earlier in the process.

A progress note wasn’t completed.

A service agreement expired.

The wrong support item was selected.

A timesheet wasn’t verified.

A participant’s funding wasn’t checked before the service was delivered.

Individually, these mistakes seem minor. Together, they lead to rejected claims, delayed payments, extra administrative work, and unnecessary pressure on your cash flow.

Complete NDIS Invoicing Workflow: From Service Delivery to Payment

I like to think of invoicing as a chain. Every link has to hold. One weak link upstream, and you’ll feel it downstream as a rejected claim or a payment that just doesn’t show up.

Step 1: Check the Service Booking Before You Start

Before any support is delivered, I always tell teams to confirm:

• The service agreement is active
• There’s a current service booking
• The correct funding category and support item are being used
• There’s enough budget left in the participant’s plan
• The current NDIS price limit applies
• Whether the participant is agency-managed, plan-managed, or self-managed — because the claim path is different for each

Skip this step, and you’ll usually find out weeks later, when the claim gets rejected.

Step 2: Deliver the Support

Personal care, community access, therapy, support coordination, SIL, capacity building, transport, domestic assistance — whatever it is, good delivery is what makes everything after this step possible.

Step 3: Write the Service Notes That Same Day

This is where I see most providers lose ground. Your notes need the date, start and finish time, location, what support was delivered, the outcome for the participant, and who delivered it.

My rule for every team I work with: if it’s not written up within 24 hours, treat that claim as at risk. Same-day notes aren’t just good practice — they’re what the rest of your invoicing depends on.

Step 4: Check the Timesheet

Before an invoice is even created, someone needs to check the hours, breaks, travel, and any sleepover shifts against what was actually delivered. One wrong timesheet doesn’t just affect invoicing — it touches payroll and compliance too. It’s never really an isolated mistake.

Step 5: Do a Proper Admin Review

Before a claim goes anywhere near submission, someone should be checking for missing documents, duplicate entries, wrong participant details, budget limits, expired agreements, and incorrect codes. This one step alone stops most rejections before they ever happen.

Step 6: Create the Invoice

Now build the invoice — right participant, right support item, current NDIS price, correct GST treatment, invoice number, service dates. I’d rather see an invoice go out a day later and be right, than go out fast and come back rejected.

Step 7: Submit the Claim

If the participant is agency-managed, the claim goes through the myplace provider portal — either as a single payment request, or as a bulk upload if you’re processing a lot of claims at once. Plan-managed claims go to the plan manager instead. Self-managed participants pay you directly and claim it back themselves.

One thing worth knowing right now: provider portal access is moving away from the old PRODA system, over to myID and the Relationship Authorisation Manager (RAM). If your team is still relying purely on PRODA, sort that out before it causes a hiccup in your claiming.

Step 8: Track the Payment

Most providers stop the second the invoice goes out. Don’t. Keep an eye on what’s submitted, what’s pending, what’s been paid, and what’s been rejected. Registered “my providers” usually get paid within two to three business days once a claim clears. If you’re not registered, or the claim needs extra checking, it can take closer to ten. Without tracking, a rejected claim can sit there quietly for weeks and nobody notices.

Step 9: Reconcile Every Payment

When the payment lands, match it against the invoice, update your records, and close it off. If something doesn’t add up, chase it straight away — don’t assume it’ll sort itself out. This is the step I see skipped the most, and it’s exactly where underpayments and partly-paid bulk claims hide.

Step 10: Keep Your Records Together

Service agreements, notes, timesheets, rosters, travel records, invoices, payment records — all of it needs to be linked and ready to pull up instantly. I’ve seen providers panic during an NDIS Quality and Safeguards Commission audit simply because their records were scattered across five different places. Build this into your daily routine, and an audit stops being something to dread.

• Teams working in silos. When rostering, payroll, and admin aren’t talking to each other, errors slip through every gap between them.

Most business owners chase more referrals first. Fair enough — growth matters. But tightening up your admin is usually the faster win, and it doesn’t need a single new participant to work.

When invoices go out accurately and on time, payments come in sooner, your team stops firefighting errors, and you get a real, current picture of where your business stands. It’s one of the simplest ways to strengthen your cash flow without touching service delivery at all.

Why So Many Providers End Up Outsourcing This

As a provider grows, the admin workload grows faster than the team does. Onboarding, scheduling, compliance, payroll, documentation, reporting, invoicing, chasing payments — it’s all competing for the same few hours in your Ops or Practice Manager’s day.

Instead of hiring and training multiple in-house admin staff, a lot of the providers I work with bring in a dedicated remote team instead — people whose whole job is documentation checks, claim prep, submission, and reconciliation. In most cases, it pays for itself within the first month or two, just from recovering claims that would otherwise have quietly slipped through the cracks.

Questions I Get Asked a Lot

How often should I be invoicing? Weekly or fortnightly, ideally. It keeps your cash flow predictable and makes reconciliation far easier than batching everything at the end of the month.

What documents should back up every invoice? Service agreements, same-day service notes, timesheets, participant records, and payment records — kept together and ready to pull up whenever you need them.

Why do claims actually get rejected? Nine times out of ten it’s an administrative slip — wrong support item number, missing documentation, exceeding a budget line, wrong pricing, or details that don’t match the claim.

How long should I expect to wait for payment? If you’re a registered “my provider,” usually two to three business days once the claim clears. If not, or if it needs extra checking, closer to ten business days.

Does outsourcing actually help, or does it just move the problem somewhere else? Done properly, it removes the problem. A dedicated specialist catches the documentation gaps and rejected claims before they turn into a cash flow issue — not after.
